During your final year in the bachelor program, you will need to take all of the following actions to facilitate your graduation and ensure timely awarding of your degree.

  • The conferral of a UW degree does not happen automatically after completing degree requirements.  This process is done via email and online application submitted by the Undergraduate Advisor and approved by the student.

  • Refresh and run your degree audit (DARS) to see what remaining degree requirements you have left.  Update your MyPlan to show how you plan to complete your remaining degree requirements.

    Reviewing all DARS audits for all degrees and/or minors, for all and any final requirements is entirely the student’s responsibility. This allows time to deal with any unexpected DARS issues.

  • Degree applications are due no later than the third Friday of the quarter in which you plan to graduate. Generally, application submission is done two quarters ahead especially for those graduating Spring or Summer (see below)

  • The Undergraduate Advisor will file (submit online) a graduation application two quarters in advance (e.g., Autumn quarter for Spring graduation). For Spring and Summer graduates, the application deadline is early November.

    In October, the SPHSC Undergraduate Advisor will email students alerting them of this pending deadline along with an email that goes over the SPHSC Degree Audit (DARS) for students to understand each requirement.  Majors may schedule individual appointments with the advisor for additional help. This allows time to deal with any unexpected DARS issues. Students are responsible to email the advisor about any outstanding requirements, questions and/or updates.

  • The SPHSC Advisor (not the student) will submit the Graduation Application (including copy of DARS) to the Graduation and Academic Records Office via an online system. 

  • The submission of the application will generate an email to the student from the Graduation and Academic Records Office.  The email is “ugradoff@uw.edu” and the email subject is, “Graduation Application Submitted”

    Students must approve the email notification from Graduation and Academic Records. Approval is required for the application to be processed and ultimately a degree awarded.  The online application utilizes the DARS audit report for verification of completion of all requirements.

    Check Spam for the confirmation email. Sometimes the confirmation email (after application submission) from ugradoff@uw.edu is appears in students' spam folders.  Be sure to check so you can click on the link and confirm your graduation application.

  • Confirmation of the Graduation Application also means you can use Graduating Senior Priority (GSP) registration status for your final two quarters. GSP allows graduating seniors and postbacs to register for courses the Friday before general registration opens. We cannot submit your graduation application earlier than you plan to graduate just to receive GSP.

  • Students must take note of emails titled “Action Required on Graduation Application”.

    Graduation Specialists send the emails to alert students about missing requirements.  They are reminders to students to make sure they have a plan to finish all outstanding requirements. Upon receipt, students should review their DARS and then “Reply All” to the email (which copies the Undergraduate Advisor) and share their plan to finish all outstanding requirements.  Students are responsible for emailing the advisor if they are unclear about requirements.

  • All students will receive an “Update Information on Graduation Application” email in their final quarter. This is an automated email indicating, at this point, all degree requirements appear to be completed or in-progress. The application is reviewed again once the current quarter's grades have been submitted.

  • Students may complete final requirements/coursework at a community/other college and have credits transferred to UW and applied toward requirements. Students must first do the following.

    1.    Make sure the class or classes will count for academic credit.  This is critical.  If the course is not accepted for credit at the UW, the student will need to complete another course in order to graduate. Check and secure verification with the Undergraduate Advisor or with UW Admissions on planned courses.

    2.    Courses must be academic and college level.  Do not take a vocational/technical course.  They do not count for credit.

    After Completion of Community/Other College Coursework

    For those finishing requirements/coursework at another (usually community) college in their quarter of graduation, an official college transcript must be sent to UW Admissions with the posted grade. The final deadline for all courses to be finished and posted on your UW record for Spring Quarter Graduation (Summer Quarter has a different date) is indicated in the Action or Updated Information Email.  Students should check with the Undergraduate Advisor for that date.

    Follow the instructions listed below on how to proceed after the official transcript is sent to UW Admissions

    Students must be proactive to ensure courses/credits are posted in time to graduate.

    Immediately after your community college course grade appears on the transcript, you must have an official transcript sent to UW Admissions. Students must also contact UW Admissions and UW Graduation to notify that a final transcript has been submitted from a community/other college with a final required course.  If these steps are not followed, transcript processing could take over a month and delay your graduation.

    Email the Undergraduate Advisor to inform them that you have requested the transcript and list out which course and requirement it completes.
